Once you've established the accounts, let's modify some of the budget
category titles to suit ourselves.
The budget categories are used to allocate your transactions to the various
parts of the budget that you can establish in the Budget Manager.
Even manually, establishing a budget is fairly straightforward. You decide
how much money you need to spend in each area of your budget during each
month. Keeping track of what you actually spend in each area of the budget
is a good deal more difficult. You might be spending money 5 or 6 ways -
sometimes with a check, sometimes with a credit card, sometimes in cash.
With FIDUCIARY (and most other decent money management packages) you can
allocate each transaction to several different budget categories.
For example, you might spend $50 at a department store. Twenty of that
might have been for clothes, and thirty for household needs. When you enter
the transaction, you simply make the budget entries. Later, when you update
the budget with the actual amounts you spend, FIDUCIARY takes care of
totaling up each budget category by the date you entered with the
transaction.
Select Modify Category Titles from the menu.
We will need an "Other" subcategory under the category of Taxes, so
highlight Taxes and press Return. Move the cursor to the first Unused by
pressing RETURN or the Down Arrow until you get there. Type "Other" and
press RETURN. We don't want to change any more of the Taxes subcategories,
so press <F1>.
Move the highlight to the Miscellaneous category and press RETURN. We want
to change acouple of subcategories in here. Move to the first Unused
subcategory. Change it to Day Care. Go to the next Unused subcategory and
change it to Education. Press <F1> when the changes to Miscellaneous are
done.
We also want to use the last two categories to track the total spent with
each credit card. Since these two categories aren't transferred to the
budget, we don't have to worry about counting any expenditure twice.
Move the highlight to the first Unused category and press Return. This time
we also want to change the category title. Type Credit Cards and press
Return. Now change the first few Unused subcategories to the following:
Discover
MasterCard
Visa - 1
Visa - 2
Press <F1> when you're finished making the changes.
We don't want to make any other changes to the categories so press <F1> to
save it to disk. Each time you load Fiduciary, these new category titles
will be used.
We're ready to enter some transactions now, so select Return to Transaction
Menu.
Select Enter Transactions from the Transaction Manager menu. We will enter
several transactions. The transactions will be listed in the following
format in this tutorial:
Acct Code Type and Seq No Date Description Amount
immediately followed by any budget category information. The budget
category information is listed as:
Category/Subcategory Amount
If no budget category is to be entered the word None will appear.
We need to enter the beginning balances for our accounts. As you can see,
there aren't any transactions in our file now. As we add transactions, they
will appear in the upper part of the display. The last 12 transactions will
be displayed in this area.
Enter the following transactions.
C1 b 01/01/90 beginning balance 16084.06
None
C2 b 01/01/90 beginning balance 0.86
None
M1 b 01/01/90 beginning balance 31.15

V1 b 01/01/90 beginning balance 0.00

V2 b 01/01/90 beginning balance 170.51

Any time you enter a beginning balance for an account, you should clear it.
Escape from transaction entry and select Reconcile Accounts from the menu.
Specify All Transactions and Outstanding. Press the space bar on each
beginning balance to change its clearance status to cleared (checkmark
indicates cleared). Exit from Reconcile Accounts with <ESC> (no need to
balance) and select Enter Transactions again.
The following transactions will be used to demonstrate search and reports,
so enter these transactions.
